Fleet and Trade Services

Running more than one vehicle changes the problem. It is no longer about the cheapest part on a search results page, it is about getting a batch of vans through conversion to the same specification, with the same paperwork on every one, without leaving the business short of vehicles while it happens.

That is the work Pro-Van is set up for. Our own engineers, our own workshop in Chelmsford, Essex, and a written specification that gets repeated vehicle after vehicle so the tenth van comes back exactly like the first.

Who this is for

  • Fleet managers. Operators running a handful of vans up to a large mixed fleet, who need seats, safety kit or racking rolled out across the vehicles without the fleet grinding to a halt.
  • Lease and contract hire companies. Vehicles that need converting before they go out on contract, or protecting so they come back at end of term without a damage bill.
  • Bodyshops and dealers. Trade fitting on vehicles you are preparing for a customer, where the finish has to stand up to a handover inspection.
  • Trades running multiple vans. Groundworks, utilities, facilities, plant hire and agricultural businesses that need the crew and the kit in the same vehicle.

We are not trying to be the cheapest supply only price on the internet. We are set up for customers who want the job done, signed off and supported afterwards by people who have done it before.

What we do at multiples

Seat conversions, with a certificate of conformity for every vehicle

Rear seat conversions for commercial 4x4s and crew cab conversions for panel vans. Pro-Van are certified Scotseat fitters and installers as well as suppliers, and every conversion leaves with a certificate of conformity for that vehicle, which is what your insurer and the MOT station will want to see. On a fleet that matters more than on a single vehicle, because it is one consistent document across the whole batch rather than a folder of different bits of paper.

Hope safe-T-bars

A safe-T-bar is a full width rear protection bumper and step, built in the UK by Hope Technical Developments. On a fleet it is one of the easiest wins there is.

  • It takes the low speed rear impacts, loading bay knocks and fork lift strikes that otherwise write off the back panel, doors and light clusters, so vehicles go back at end of lease without a damage bill.
  • A full width reflective red conspicuity strip means the back of the van is seen at night and in poor weather, which is a straightforward driver safety improvement you can point at.
  • It gives the driver a wide anti-slip platform to stand on when loading or reaching the roof, with a tread surface that exceeds the HSE BS 7976 pendulum slip test.
  • It bolts to the manufacturer's existing rear mounting points, with no cutting and no welding, so it is quick to fit and quick to roll out across a fleet.

Bars are available for most mainstream panel vans. Tell us the makes and models in the fleet and we will confirm what is covered.

Racking rollouts

Trade racking, shelving, ply lining, roof racks, ladders and load restraint. We record the layout once, then repeat it across every vehicle, so a driver moving between vans finds everything in the same place. Racking is bolted to proper structural points and load checked rather than screwed into trim panels, which matters if the vehicles are on lease and have to be returned.

Glazing

Bonded fixed, sliding and privacy glass into van sides, doors and tailgates. Usually done in the same booking as a crew cab conversion, because the second row needs light and vision and it is one visit rather than two.

Towbars and electrics

Towbars fitted to vans and trucks, with the wiring loom done properly and tested before the vehicle leaves. Fixed and detachable options depending on what the vehicle is used for.

Recent work

Recent work includes crew cab conversions for commercial operators, taking standard panel vans through second row seating, bulkhead relocation, side glazing, lining and trim so they carry a crew as well as the load. Those vehicles left with the fitting documentation and the conformity paperwork for the operator's fleet file.

How it works

  1. Tell us about the fleet. Makes, models, years, how many vehicles and what you need them to do. A spreadsheet or a registration list is fine.
  2. Site visit by arrangement. For larger jobs we can come to you and look at the vehicles before anything is quoted, so the specification is built around what you actually run rather than what we assume.
  3. We quote in writing. A price per vehicle for the specification, plus lead time. Nothing hidden and no surprises at invoice stage.
  4. We agree a schedule. Vehicles are booked through in batches so you are never short of vans. You tell us how many you can release at a time and we work to that.
  5. We do the work. The specification is recorded once and repeated, so every vehicle in the batch comes back the same.
  6. Handover and paperwork. Each vehicle leaves with its own documentation, and the batch can be invoiced together on one consolidated VAT invoice rather than one invoice per van.

Trade terms are available by arrangement. Tell us how you need to be invoiced and we will set it up before the first vehicle comes in.

Where the work is carried out

Our workshop

Most work is done at our workshop in Chelmsford, Essex. It is the quickest route, the vehicle is under cover for the whole job, and anything unexpected gets dealt with on the spot rather than becoming a second visit.

At your premises

Site visits and on site work can be arranged. It depends on the vehicle, the specification and having somewhere suitable and dry to work, so we confirm it case by case when we quote. Send your postcode with the enquiry.

Common questions

How many vehicles counts as a fleet job?

There is no magic number. If you are putting more than one vehicle through the same specification, tell us the quantity with your enquiry and we will price the batch rather than pricing each van as a one off.

Can you keep the fleet on the road while you work through it?

That is the point of scheduling in batches. You tell us how many vehicles you can release at once and we build the programme around it, so the fleet keeps working while the conversions happen.

What paperwork do we get?

Fitting documentation for every vehicle, a certificate of conformity on seat conversions for insurance and MOT purposes, and a VAT invoice. Batches can be invoiced together.

Do you work on leased and contract hire vehicles?

Often, but check the agreement first. Some lease agreements restrict modifications or require the vehicle to be returned to standard. Tell us at the quote stage and we will tell you what is reversible and what is not.

Can you supply only, without fitting?

Yes. Parts can be supplied on their own and delivered, with a VAT invoice. Most fleet customers come to us for the fitting and the sign off, but you are not forced to pay for fitting you do not need.

Will a seat conversion affect tax, insurance or the V5C?

It can. Changing the number of seats in a vehicle can change how it is taxed, insured and recorded. Tell your insurer before the work is done, notify DVLA if the seat count on the V5C changes, and check with your accountant if the vehicle is treated as a commercial vehicle for tax. We tell you exactly what applies when we quote.

How quickly can you start?

Lead time depends on parts availability for your vehicles and the size of the batch. We quote a realistic date rather than an optimistic one, and we agree the schedule with you before anything is booked in.
